This Privacy Notice explains how Tina & Associates Notary Firm ("we", "us", "our") collects, uses, shares, and safeguards personal information when you use our website, book a remote online notarization, or request a legal-documents courier service.

1. Who we are

Tina & Associates Notary Firm is the data controller responsible for the personal information described in this notice. For any privacy request you can reach us at support@tina-notary.com.

2. Information we collect

  • Contact details — name, email, phone number, mailing address.
  • Signer identity information — signer names, ID type, state that issued the ID, and ID expiration date, required to lawfully notarize.
  • Documents you upload — the PDF or file you submit to be notarized or delivered.
  • Booking information — appointment date and time, document type, pickup/delivery details for courier requests.
  • Payment information — handled by our payment provider (see Section 5). We do not store your full card number.
  • Technical data — IP address, device/browser information, and basic usage logs collected automatically to keep the site secure.

3. How we use your information

  • Provide, schedule, and complete the notarization or courier service you booked (contract performance).
  • Verify signer identity as required by state notary law (legal obligation).
  • Communicate with you about your appointment, payment, and support requests.
  • Protect our site and services against fraud, abuse, and security threats (legitimate interests).
  • Keep records required by law, including notarial journal entries.

4. Legal bases

We process personal information under one or more of the following bases: performance of a contract with you, compliance with a legal obligation (including state notary and identification laws), our legitimate interests in operating and securing the service, and — where required — your consent.

5. How we share information

  • Merchant of Record — Paddle. Payments are processed by Paddle.com Market Ltd, which acts as our reseller and Merchant of Record. Paddle handles the sale, receipts, invoicing, tax compliance, and refund requests and receives the personal and transaction data required to do so. See Paddle's Privacy Notice.
  • Service providers. Hosting, database, email delivery, file storage, and remote-notarization platform providers process information on our behalf under confidentiality obligations.
  • Professional advisers. Legal, accounting, and insurance advisers where necessary.
  • Authorities. Courts, regulators, and law enforcement where required by law or valid legal process.

6. Data retention

We keep personal information only as long as needed for the purposes above. Notarial journal entries and related identification records are retained for the period required by state law. Uploaded documents are retained only as long as reasonably necessary to complete your booking and any related recordkeeping, then deleted or anonymized.

7. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to our processing of your personal information, or to request portability. 8. Security

We use appropriate technical and organizational measures — including encryption in transit, access controls, and least-privilege practices — to protect personal information. No system is perfectly secure, but we work continuously to reduce risk.

9. Cookies

We use only cookies and similar technologies that are strictly necessary to run the site, keep it secure, and remember your preferences. We do not use advertising cookies.

10. Changes to this notice

We may update this notice from time to time. Material changes will be posted on this page with an updated "Last updated" date.
